Drivers

All drivers must meet the following conditions:

·          Be between the age of 25 and 70 years.

·          Have held a full driving licence valid in the United Kingdom for 24 months

·          Not have any driving offence convictions (motor vehicle or motorcycle) or have had their driving licence suspended or endorsed or penalty points imposed.  Parking and up to 2 speeding offences in the past 3 years may be ignored.

 

Insurance company driver limitations and exclusions

In addition to the driver requirements above the insurance company makes the following exclusions:

1)       Persons who have had insurance declined and/or renewal refused and/or special insurance terms   imposed as a result of claims experience and/or have had their insurance or cover cancelled by any Motor Insurer.

2)       Persons who have any mental or physical defect or infirmity or suffers from fits, diabetes or any heart complaint.

3)       Persons engaged wholly or partly in professional entertainment or professional sports persons.

4)       Jockeys and persons connected with racing of any sort.

5)       Persons who, whilst driving, have been involved in more than one accident during the past 3 years.

6)       Foreign Service Personnel other than persons born in the United Kingdom.

If any of these exclusions apply to you and you are interested in hiring a vehicle you should contact us with the details and we will check with the insurance company if you can be covered.  If the insurance company will cover we will draft an amended driver declaration to sign.  Do not sign the standard driver declaration.

 

Documentation and identification

On collection the following will be required for each proposed driver:

a)        Valid standard driver's license, including paper part, meeting the above criteria regarding penalties/convictions.

b)       Two separate forms of identification for each driver one validating permanent address: e.g. a recent utility bill and passport.

Do not turn up to collect the vehicle without the correct documentation and identification; you will not be permitted to collect the vehicle and the booking would be treated as a “no show” and any payments made would not be refundable.

 

Booking and Payment

Confirm availability with TOC via email or phone.   If you want to go ahead and book we will send you an invoice/details: to confirm the booking you need to pay the deposit and return the signed rental agreement and driver/insurance declarations.

 

Payment of rental charge for bookings more than 6 weeks in advance:

The deposit will be £150 per week of hire; or £40/day for booking less then one week.

The balance of the rental price will be due 6 weeks before the collection date.

 

Payment of rental charge for late bookings (less than six weeks before collection):

The full rental price is payable on booking.

 

Payment of security deposit

The security deposit (£500) will need to be received in cleared funds before collection.

Security deposit can be cash on collection.

If paying via bank transfer or cheque then it must have cleared into our account before collection….call and check before turning up.

 

Vehicle will not be released without full and cleared payment of rental charge and security deposit.

Do not turn up to collect the motorhome expecting to pay security deposit with a cheque.

 

Cheques will not be acceptable for very late bookings within 2 weeks of departure.

 

Cancellation charges

More than 6 weeks before collection date: booking deposit will not be refunded.

Within 6 weeks of collection date: 100% of total hire charge.  If security deposit has been paid then security deposit will be refunded in full.

 

Security Deposit

There is a refundable £500.00 Security Deposit payable in cash or cleared funds before the vehicle can be taken.

This is fully refundable at time of vehicle return if the vehicle is returned to Tarn, on the agreed date and time, in the same condition as it was taken, with the toilet empty, the waste tank empty and the interior clean (including all crockery/pans/utensils/appliances) and with the tank full of fuel.  The security deposit will be used to fund any loss or damage what so ever to equipment, fixtures and fittings, or damage to the vehicle.

 

European Travel

Our business is focused on use in UK mainland.  It is not permitted to take the vehicle out of UK mainland (England, Scotland and Wales).

Therefore it is not permitted to take the vehicle to Northern Ireland, Southern Ireland or onto the European continent.

 

Insurance

The hire rate includes comprehensive UK insurance with a standard excess of £500.00.  In the event of any damage to either the vehicle or third party property, the hirer will be liable for the first £500.00. The hirer will also be fully liable for replacement or repair of any damaged windows/glass.

 

Hire rates quoted include:

Unlimited miles

UK vehicle insurance, see insurance section below.

UK breakdown cover, this will cover any mechanical/electrical faults to the base chassis/engine of the motorhome.

It would not cover things like appliance problems, user error, running battery flat.

 

Collection and return

Collection and return address: Tarn Outdoor Centre, Tarn, Fell End, Ravenstonedale, Cumbria, CA17 4LN

 

Collection

Collection time: as agreed on rental agreement.

Please allow 1 hour at Tarn to complete the documentation and for TOC to demonstrate the vehicle to you.

 

Return:

Return: as agreed on rental agreement.

The vehicle must be returned on the return day at or before the time agreed on rental agreement. Vehicles must be returned in the same condition as they were collected.  Please ensure the following:

chemical toilet cassette must be empty.

Waste water tank must be empty

Vehicle has been refuelled so fuel tank is full.

Interior of vehicle, including washroom all kitchen appliances has been cleaned.

 

If the vehicle is not returned in the same condition as it was collected and/or on time the following charges will be withheld from the security deposit:

Cassette toilet emptying: £40

Waste tank emptying: £40

Interior cleaning: £40

Refuelling: cost of fuel plus £25 refuelling charge

Damage: the value of damage.

Late return:  please do not do it! Please respect the next customer and this agreement.  If the vehicle is returned late you will be charged £50 per hour or part thereof.  E.g. anything up to 60 minutes late £50; 1 to 2 hours late £100; 2-3 hours late £150.  If you will be late returning, you must advise TOC immediately.  Failure to advise may result in prosecution for driving whilst uninsured.

 

Unavailability of vehicle

In the unlikely event that TOC do not make the vehicle available for the rental period, for whatever reason, (including, for example, but not limited to, non-return by previous customer, theft, breakdown, accident damage, fire) then TOC will refund in full all payments received by the customer for the rental period.  TOC will not be liable for any other costs or losses of the customer.
